At Arms [] Be aware of time allotted for speeches as they vary from speech to speech. If not noted in the schedule find out from your speaker the number speech from the manual and time requirements for that speech. [] Select to seat within the room in which you will easily be noticeable by the speakers. At the meeting [] Be aware of the time allotted for each activity - the times in the meeting schedule are a good indicator. [] For speeches hold up cards at the 2:00, 1:00, 30-sec. and 0 marks. [] Hold up cards at the 1 min., 30 sec., and 0 marks for all activities other than speeches. [] Table topics are timed at 30-sec min. 90-sec. max. [] Evaluations are timed at 3 minutes max. [] Hold up cards so they are visible to the speaker and look for acknowledgement by the speaker that he or she has observed your notification. Grammarian At the meeting [] Record the number of filler words - ahs, ums, and drawn out ands. [] Record the number of filler and slang clauses - like y’know. [] Look for and record excessive conjunctions between phrases - "and this happened and I went to the store and ..." [] Look for and record repeats/double words. [] Record the number of times the Word of the Day had been used and give credit to those who have used it. Wordmaster Before the meeting [] Select a word that is out of typical normal conversation however is not too difficult to pronounce. Adjectives and adverbs are the easiest to incorporate into the meeting. [] Write out your work in a large font along with its pronunciation and definition. [] It is helpful to make copies as handout for the meeting participants. At the meeting [] Present you word and incorporate the work into a sentence as an example. [] Pass out handouts. Evaluator Before the meeting [] Contact the speaker and ask the speech number that will be presented. [] Ask the speaker if there are other criteria on which he/she wishes to be evaluated other than those included within the speech evaluation. Ask speaker if he/she wants this presented in your oral presentation or as just a note in their manual. [] Review the evaluation criteria. At the meeting [] Prepare and present a max.3 minute evaluation presentation based on the speech evaluation criteria. General Evaluator Before the meeting [] Contact every member of your evaluation team: Evaluators, Grammarian, and Timer, the day before the meeting. [] If an individual cannot fulfill their role find a replacement. [] Notify the Toastmaster of any replacements. During the meeting [] Start with an evaluation of the first half of the meeting (approx. 2-3 min.). [] Introduce evaluator #1 (max 3 min.). [] Introduce evaluator #2 (max 3 min.). [] Introduce the timer (approx. 2-3 min.). [] Introduce the grammarian (approx. 2-3 min.). [] Present an evaluation of the evaluators, timer and grammarian (approx. 2-3 min.). Toastmaster Before the meeting [] Prepare a 3 to 5 minute opening speech. Topic is at the Toastmasters discretion. Typical topics are current events, recent historical anniversaries, and recent or upcoming holidays. If your topic includes audience participation (i.e. question and answer) be very watchful of the time. [] The day before the meeting contact the Wordmaster, Grammarian, Jokemaster, Speakers, Table Topics Master and General Evaluator. [] If an individual cannot fulfill their role, find a replacement. [] Contact the speakers as to their speech title and number in the manual. [] The day of the meeting prepare the meeting agenda. During the meeting [] Remember as Toastmaster you are in control of the meeting. Keep in communication with the timer that the meeting is running on schedule. [] Introduce the speakers with information regarding their speech title, number speech in the manual, the manual (Basic, Advanced, etc.) and the manual speech title (i.e. The Icebreaker). [] After the General Evaluator has completed make a closing statement and hand control of the meeting to the President.
